Setup checklist
Checked once, at the start. If you are using PixWork on your own, the first few items are all you need.
- Installed the app and signed in with a Google Account
- If you use more than one Google Account, noted which one you signed in with
- Checked, in Settings, which language the AI generates results in
- Scanned one card, reviewed and corrected the reading, and saved it
- Decided whether to use the Google Sheets connection (not using it is a valid choice)
- If using Google Sheets, decided whether to create a new sheet or pick an existing one
- Decided whether to save to the phone’s contact book, and checked the setting
- If you have existing customer data, made a copy of it before migrating anything
Extra checks for a team
Only needed when several people share one sheet.
- Decided who owns the sheet
- The owner granted edit access to members through Google Sheets’ own "Share"
- Every member managed to select that same sheet through the picker in the app
- Everyone understands that Status, Assignee, and Next Action Date are edited in the sheet, not the app
- Agreed who looks at the sheet, and when, to decide the next action
Ongoing checklist
Worth reviewing periodically while you keep using it. Monthly is usually enough.
- No sync errors are appearing, in particular "There is a problem with this sheet’s structure"
- Nobody has renamed or reordered the sheet’s columns
- Only contacts updated within the last 90 days are synced — if older data matters, it is being kept in the sheet
- Unanalysed (Save Only) photos are not piling up
- Anyone who joined recently can see the same sheet
- Checked the plan and remaining scan allowance on the app’s own screen
Data quality checks
The reading is designed to be checked by you. Once records have built up, a periodic pass keeps the list usable.
- No rows with an empty name or company
- No phone numbers that lost a leading zero (a sheet cell format is often the cause)
- No duplicate entries for the same person
- Company names written consistently rather than several ways
- Dates in a consistent format (a year-first format is the safe one)
- No Status values outside the six the app maps
To fix a batch of these at once, the data-cleanup prompt on the "AI prompts" page helps. Have the AI produce a proposed correction and apply it yourself rather than letting it rewrite the sheet.
